DIGITALE STRATEGIE undertakes to ensure that the processing of personal data carried out on KOANN (the service) complies with the General Data Protection Regulation (GDPR) and the French Data Protection Act (Loi Informatique et Libertés).

Purposes

The purpose of the processing is to manage the services offered to registered users of KOANN.

It enables:

  • to ensure user registration and authentication
  • to enable user navigation on KOANN and to monitor the progress of such navigation
  • to communicate with users
  • to produce statistics on the use of the service
  • to connect Candidates, Recruiters and training organizations

Use of artificial intelligence technologies

As part of its services, KOANN uses artificial intelligence technologies in a targeted manner, in particular for the automated analysis and processing of curriculum vitae (CVs) as well as for the assisted generation of certain content.

These technologies are used exclusively for the following purposes:

  • assisted drafting of job offer descriptions;
  • generation of illustrations associated with job offers;
  • extraction, analysis and automated processing of information contained in CVs submitted by candidates (CV parsing);
  • calculation of indicators and automated scores based on information extracted from CVs.

The matching between candidates and job offers is based on a deterministic internal algorithm, separate from any artificial intelligence system.

Legal basis

We collect and process only personal data concerning you for which we have legal bases. These legal bases include your consent (where you have given your consent), the performance of a contract (where the processing of personal data is necessary for the performance of a contract with you), and “legitimate interests”, for example to enable candidates and recruiters to communicate and to find jobs or talent.

Where the processing of your personal data is based on your consent, you have the right not to give consent or to withdraw it at any time; where the processing of your personal data is based on legitimate interests, you have the right to object to such processing.

Data collected

Registration

To create an account, you must provide your first and last name, your email address and/or your phone number, as well as a password.

For users of the “recruiter” type, you must additionally provide:

  • the company name
  • your position within the company

And for users of the “university” type:

  • the name of the organization
  • and the website address of the organization

Service usage data:

  • IP address;
  • browser used;
  • operating system;
  • authentication data collected via a session cookie;

Profile

You may choose the information displayed on your profile, such as your education, professional experience, skills and soft skills, your photo, your city/region, and your websites.

You are not required to provide additional information on your profile. However, profile information allows you to make the most of our services, in particular by increasing your visibility to recruiters and for business opportunities.

It is your responsibility to decide whether you wish to include sensitive information on your profile and make such sensitive information public.

Do not add or publish personal data on your profile unless you agree to make such data public.

Data retention

We generally retain your personal data for as long as your account remains open or as long as necessary to provide you with the Services. This includes data you or third parties have provided to us as well as data generated or inferred from your use of our Services.

Even if you only use our Services sporadically to search for a new job, we retain your information and keep your profile active unless you close your account.

In some cases, we retain information (such as service usage data) in an anonymized or aggregated form.

Your data protection rights

In accordance with the General Data Protection Regulation (GDPR), you have permanent rights of access, inquiry, modification, rectification and objection with regard to your personal data.

Modify or rectify data: you may also modify certain personal data directly through your account.

Security

We implement security measures designed to protect your data, such as the HTTPS protocol. We regularly monitor our systems to detect potential vulnerabilities and attacks.

Nevertheless, this does not allow us to guarantee the security of the information you send to us. There is no guarantee that data will not be accessed, disclosed, altered or destroyed as a result of a breach of our administrative, technical or physical safeguards.

Complaint to the CNIL

If you believe, after contacting us, that your data protection rights are not being respected, you may submit a complaint to the CNIL.
